Getting Started with PaydayBooks in 5 Minutes

Install the app, connect QuickBooks, and your first payout sync runs automatically. Here's the exact 5-minute setup walk-through.

PaydayBooks is designed to be set up in under 5 minutes. Here's exactly how it works, step by step.

Step 1: Install from the Shopify App Store

Go to the PaydayBooks listing in the Shopify App Store and click "Add app." Shopify will ask you to confirm the installation. Click "Install" and you'll be taken to the PaydayBooks setup wizard inside your Shopify admin.

Step 2: Connect QuickBooks Online

Click "Connect QuickBooks." You'll be redirected to Intuit's login page. Sign in with your QuickBooks Online credentials and click "Authorize." PaydayBooks will receive a secure token — your password is never shared with us.

Step 3: Pick your bank account and clearing account

PaydayBooks needs to know two accounts in your QuickBooks chart of accounts:

  • Bank account: The account where Shopify deposits your payouts (the same one on your bank statement)
  • Clearing account: A temporary "holding" account used to route gross sales through before the net amount is deposited. If you don't have one yet, you can create it from the setup wizard — it takes about 10 seconds.

PaydayBooks auto-detects your accounts from QuickBooks and presents them in a dropdown. Most merchants are done with this step in under a minute.

Step 4: Preview your first sync

Before anything is posted to QuickBooks, PaydayBooks shows you a preview of exactly what will be created for your most recent payout. You'll see the SalesReceipt amount, any RefundReceipt, and the Deposit. Verify it looks right.

Step 5: Confirm — you're done

Click "Confirm and sync." PaydayBooks posts the entries to QuickBooks and sets up automatic syncing every 6 hours going forward. No more manual work required.

What happens after setup?

Every 6 hours, PaydayBooks checks for new Shopify payouts. If a new payout has been released, it gets synced to QuickBooks automatically. You can check the PaydayBooks dashboard any time to see recent syncs, review any errors, and manually trigger a sync if you need it right away.
